Otomatic Digital ("we", "us", "our") is a digital automation and AI training consultancy based in Ireland. We operate the website at otomaticdigital.com.

2. What data we collect

We collect personal data that you provide directly to us through our website forms, including:

• Name and email address (contact form and Otomatic Guides forms)
• Business name, phone number, and service enquiry details (contact form)
• Calculator and audit inputs you enter voluntarily

Standard browser request data (IP address, browser type) is processed by our hosting provider. If you accept analytics cookies, Google Analytics and Microsoft Clarity also collect usage data as described in section 7.

3. How we use your data

We use the data you provide to:

• Respond to your enquiries and service requests
• Follow up on calculator and audit submissions
• Provide you with relevant information about our services

We do not sell or rent your personal data. We disclose it to the named service providers when needed to provide the services described in this policy; this is not a sale or rental of your data.

When you request an Otomatic Guide, we send your first name, email address and requested guide to Brevo to manage your Otomatic Guides subscription. We use Resend to deliver the guide email and PDF.

4. Legal basis for processing (GDPR)

Under GDPR, we process your data on the following lawful bases:

• Legitimate interests: responding to direct enquiries you have initiated
• Consent: where you have voluntarily submitted your details through our forms

• Access the personal data we hold about you
• Request correction or deletion of your data
• Object to or restrict processing of your data
• Withdraw consent at any time

You can unsubscribe from Otomatic Guides emails by replying to any guide email with unsubscribe, or by contacting us. You can also request deletion of your guide subscription data at the same address.

6. Data retention

We retain your personal data for as long as necessary to fulfil the purpose for which it was collected, or as required by law. Enquiry data is retained for up to 2 years unless you request deletion sooner.

7. Cookies and analytics

This website uses analytics cookies only if you accept them in the consent banner. Until you accept, no analytics scripts load.

• Google Analytics 4: aggregated usage statistics (pages visited, approximate location, device type). IP addresses are anonymised.
• Microsoft Clarity: anonymised heatmaps and session replays showing how pages are used.

You can withdraw or change your choice at any time via the "Cookie settings" link in the footer. Withdrawing stops both tools and removes their cookies.

8. Who processes your data

We use the following service providers to run this website and respond to enquiries:

• Vercel: website hosting
• Brevo: Otomatic Guides subscription management
• Resend: Transactional email delivery, including guide delivery
• Cal.com: call booking and scheduling
• Make.com: routing form submissions into our client records
• Sentry: error monitoring (technical fault data, not marketing)
• Google Analytics 4 and Microsoft Clarity: analytics, only with your consent (section 7)

We use these providers to provide the services described above. Their own terms and privacy notices apply to their processing. We do not sell your data to anyone.

9. Changes to this policy

We may update this Privacy Policy from time to time. The current version will always be available at this URL. Material changes will be communicated via email where applicable.
