The challenge
Stuntworxelite runs gymnastics classes for children across multiple sessions and class types. When a parent signed up and made a payment, someone had to manually send a confirmation email from a Gmail account - every sign-up, every time.
Beyond confirmations, the team was managing rosters, report cards, and timetables by hand. Data sat across multiple places with no reliable connection between them. Staff were spending 4 to 5 hours a week on work that should have taken minutes.
What we built
Payment Confirmation Automation
When a payment is made, the system reads which class type it corresponds to and automatically sends the correct confirmation email to the parent. No manual step required. The right email goes to the right person every time.
Data Integration
A custom script layer connects payment records, student information, class schedules, and Google Sheets. When data comes in from a payment, it flows automatically into the right place across the business.
Automated Report Cards
Using a Word template and Google Sheets as the data source, the script pulls the relevant student information and generates a formatted report card ready to share. Staff no longer type up individual reports.
Timetable Generation
Based on class allocations and hours worked in the system, timetables are produced automatically. Rosters stay accurate without manual input.
